I Review Alfa Laval Specs for a Living—and the Best Quote Isn't the Lowest One

I'm a quality inspector at Alfa Laval. If a supplier can't be transparent about what's included, I don't care how good the brand name is. A low price is not a specification. It's a number on a page until it's backed by a written list of what you're getting—and what you're not.

When I first started in this role, I assumed the thickest quotation pack meant the most thorough engineering. A few years later, I realized I had it backwards. Clear, specific line items with named references and manual numbers are the strongest signal that a vendor actually knows the equipment. In 2022, when I implemented our specification verification protocol, the number of clarification calls dropped by about a third.

What transparency really looks like in a quote

A transparent quotation answers three questions: What is included? What is excluded? What will it take to run and maintain it? If a quote doesn't answer those, it isn't transparent—it's just page count. I've had vendors tell me that a complete scope with all options “looks too expensive.” But the alternative is worse: a cheap-looking scope that gets a “mandatory change order” added later.

In our Q1 2024 audit, most rejected specifications failed for the same reason: the model number or applicable manual was missing. Not necessarily because anyone was careless. Often the customer simply asked for “an Alfa Laval heat exchanger” and the sales engineer assumed the rest. That assumption is where hidden cost enters the project.

The manual is part of the product

Small components still have specifications

Then there are the small pieces. An oil pressure sensor can seem like a commodity—until you check the operating temperature range and wetted materials. A sensor with the correct thread but the wrong temperature rating can give false readings in a hot compressor package. A space heater in a control panel is another example: it prevents condensation, but a fan-forced model can pull dust into a cabinet that was supposed to stay clean.

I even had a Can-Am air filter show up in a custom intake specification. Not a heat exchanger part, but the same lesson applies. The media area, filter rating, and initial pressure drop matter more than the part number. I want to say that was late 2023, but don't quote me on the exact month.

Genuine add-ons are different from surprise add-ons

Now, I'm not saying every add-on is a trap. Expedite fees are real. Engineering time is real. Freight, duties, installation, commissioning, and documentation are real. I do not mean a supplier should absorb all of those costs. My point is disclosure. I would rather see a line item for “project engineering support” than a vague “handling fee” that appears after the purchase order. A genuine add-on, disclosed in advance, is just business. An add-on that arrives later is a broken trust.

Honestly, I'm not sure why some sales engineers resist putting the manual, the complete specification, and the full scope in front of a customer before the order. My best guess is they're worried about questions, exceptions, and negotiations. But those conversations are exactly how the right equipment gets selected.

The best quote is the one I can defend

Here's my bottom line. I'd rather pay more for an Alfa Laval twin screw hygienic pump with a complete manual, a clean statement of wetted materials, and a quote that lists every valve and fitting, than pay less for a pump that arrives without documentation and later picks up “mandatory upgrades.” That's not a slogan. It's the way I'd want my own purchases handled.

But a supplier that puts the manual, the specification, and the full price on the table is the one I trust. Trust, I've learned, is just transparency that holds up under inspection.
